Title: Program Assistant,
Evergreen Brick Works http://www.evergreen.ca/en/
Overview Statement: This Program Assistant position will play an integral role in supporting and delivering community programs and special events at Evergreen Brick Works over the busy spring, summer and fall seasons.
The Program Assistant will be the organization’s guru in maintaining an inventory of resources, being a knowledgeable ambassador for Evergreen Brick Works, as well as a communications and scheduling expert.
This position would be suited for a motivated individual interested in community engagement, education and being part of the solution to making cities livable.
1. Workshops and Special Events Support
· Provides administrative duties related to workshop/event management including participant registration, guest honorariums, refreshments, organized seating, and tidy up
· Helps workshop/event leader prepare workshop materials and hand-outs
· Prepares ongoing inventory of workshop supplies
· Assists with activity planning and delivery of programs at the Farmers’ Market and summer day camps
2. Volunteer Administration
Coordinates with Evergreen Brick Works staff to determine volunteer scheduling needs and ensures that the roster is populated on a weekly basis
Supports Evergreen’s Volunteer Program Coordinator in fulfilling Evergreen Brick Works volunteer recruitment requirements
Maintains ongoing communication with volunteers related to scheduling Stocks and tracks volunteer resources including t-shirts, sign in sheets etc. in Evergreen’s database
Works with Evergreen Brick Works staff to coordinate committee meetings and resulting communication
3. Service, Sales and Community Relations
· Provides customer service and information to the public and volunteers at Evergreen’s Kiosk
· Collects and coordinates information to advance members list for electronic event newsletters
· Proactively sells Evergreen’s sustainable product line
· Tracks all sales, money and inventory and maintains records in Evergreen’s database
· Regularly updates program and events information on site and covers staffing needs of show room
· Promotes workshops and special events including leading outreach to community centres, libraries, local businesses, etc.
4. Organizational accountability:
· Supervised by: Lisa Spinks, Project Manager - Events
· Supervises: volunteers
· Proactively works together with the Project Manager – Events, Farmers’ Market Manager, Stewardship Specialist and communicates openly about goals, working styles, expectations & performance.
5. Participates positively as a member of the Evergreen team:
· Models Evergreen's values and adheres to Evergreen's Operating Principles.
6. Assists in other Evergreen Brick Works tasks as required.
Guidelines:
· College Diploma or University Degree preferred
· Experience in one or more related areas of: database administration, sales, volunteer management, special events, early childhood education
· 1-2 years of previous work experience
· Super organized, detail orientated, outgoing, friendly and hard working
· Able to work independently on carrying out project logistics and details, works collaboratively and seeks assistance as required
· Works regular business hours, evenings and weekends
· Some travel will be required within the GTA
· Must be physically capable of lifting up to 20lbs.
· Special certification: CPR/First Aid (as asset), Valid Ontario Driver’s License (required)
· Has general access to Evergreen's Database/some confidential HR & financial information/all HR & financial information
· Fulltime seasonal opportunity (April to October)
